Job Description:

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks, customer service, and support. The ideal candidate will exhibit high standards, excellent communication skills, and have the ability to take initiative and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.----Qualities we are looking for in an ideal candidate:--Self-motivated individuals who--are able to--work effectively with little to no supervision.--Excellent organizational skills and attention to detail.--Excellent problem-solving skills and the ability to multi-task.--Strong--interpersonal, customer service, and communication skills (written and verbal)--Personable and enthusiastic.----Candidates for this position must meet the following requirements:--Must be able to speak and write English well--Basic math skills--Working knowledge of office equipment like printers, phone systems, and computers--Proficiency in--Microsoft Office--software--including Word, Excel, PowerPoint, and Outlook--Bookkeeping and general office experience of at least 2 years.--Quickbooks--knowledge a plus, but not required.--Knowledge of office management systems and procedures--Ability to type professional e-mails and letters--Ability to understand expense reports and financial statements--Excellent time management skills and the ability to prioritize work--Ability to work unsupervised effectively--Minimum high school diploma or GED--required. At least 2 years of college preferred.--Willingness to submit to--pre-employment--background checks and regular drug screening.--Must have reliable transportation to and from--work, and--be able to run errands using a personal vehicle as needed.----Willingness and ability to rotate after-hours and weekend on-call phones.-- Some of the tasks--you--will handle on a daily--or weekly--basis include:--Bookkeeping--Create and adjust estimates--and invoices--using--estimating software and--Quickbooks--Enter--estimates,--invoices, receipts, and deposit information into--Quickbooks--Assist in tracking budgets--Manage accounts payable--Provide weekly printouts of financials to management----Payroll--Create purchase orders--Make bank deposits as requested--Customer Service--Answer phones--cheerfully and respectfully--and assist customers or direct phone calls to the appropriate party--Schedule appointments,--dispatch crews--Provide regular updates to clients on project status through phone, e-mail, or other means--Follow-up on all jobs after completion to ensure customer satisfaction--Rotate after-hours and weekend on-call phones--Collections--Track accounts receivable--Contact insurance companies, mortgage companies, and customers for payment--Follow-up on past-due accounts to check payment status--Send collections notices as needed--Marketing--Manage social media accounts--Create relevant posts for social media--Aid in creating newsletters--sent to customers--Other--Scanning, faxing, copying, and filing--Handle and coordinate active calendars--Schedule and confirm meetings--Attend meetings and take detailed minutes--Ensure employees are submitting all required paperwork on time--Assist in tracking project status----Assist in preparing and sending project reports--Book travel arrangements--Place chemical, material, and equipment orders as needed--Track equipment--and tools--to prevent loss--Schedule sub-contracted services--Maintain office cleanliness and organization--Provide general support for managers and other staff--Attend marketing events such as networking events, conferences, etc.--Occasionally travel to out-of-town job sites to provide on-site--administrative--assistance.----If you believe you meet the above qualifications and would like to apply, please e-mail your resume with detailed work history along with references.--We will contact you to set-up an interview if we believe you meet the above qualifications.----We are not accepting in-person applications at this time.
